WDCE Program Workflow

Course proposals are submitted

  1. Late February/early March for Fall.
  2. June for Spring of the following year.

The following step process should be referenced and followed

Step 1

Add New Courses to PeopleSoft: Peter, Cluadia, Gabrielle, Latasha

Step 2

Schedule New Courses in PeopleSoft: Peter, Cluadia, Gabrielle, Latasha

Step 3

Import New Course Information into Acalog: Peter, Andrea, Pat

Step 4

Create or Update Catalog Program and Cores: Peter, Andrea, Pat

Step 5

Create New Web Program Page and Add API to Webpage if needed: Pat

Step 6

Create UTM Tracking Codes & Q&R Codes: Pat, Kat

Step 7

Market Programs: Kat, Romina, ?

Process Description


  1. Support staff provides directory of current instructors to Manager.

  2. Letters are sent to instructors with proposals for new term.

  3. Responses are due 2-3 weeks from receipt of letter.

  4. Instructors can accept, decline, or submit an alternative proposal.

  5. Responses must include: 1) the accepted proposal 2) the syllabus for the course 3) (for brand new instructors) an updated resume.

  6. If any of these are missing, staff member will email the instructor requesting that they send it in.

  7. Dates and times for the course will be confirmed with the instructor, in PeopleSoft and in Adastra.

  8. Peter will continue to add new courses to ACALOG as they come in.

  9. Peter will provide an excel of currently offered courses via PeopleSoft query to Patrick and Andrea.

  10. Patrick and Andrea will add cores, programs, courses, and class information into ACALOG as needed.
